How to fill sick-call shifts faster

By Daniel, founder of Backend for Businesses · Updated 5 November 2026

Short answer: stop phoning around one by one. Keep a live list of who is qualified and available for each role and site, send the open shift to all of them at once, give it to the first person who confirms, and tell everyone else it's filled. Track certificate expiry dates so you never offer a shift to someone who isn't allowed to work it.

Why sick calls eat the morning

A faster way to fill shifts

  1. Keep one list per role and site of people who are qualified, in date and willing to pick up extra shifts.
  2. Send the shift to all of them at once by text, with the time, place and pay.
  3. First yes wins. Confirm that person automatically and tell everyone else the shift is filled.
  4. Keep a standby list for the busiest times, such as early mornings and weekends.
  5. Track certificates with a warning 30 days before anything expires.
  6. Measure time to fill every week, so you know whether it's getting better.

Work out what it's costing you

Example: one hour of phone calls per sick call, five sick calls a week, is about 260 hours a year of coordinator time, or $6,500 at $25 an hour. Two shifts a month that end up unfilled, at $200 each, lose another $4,800 of billing. Together: about $11,300 a year. Use your own numbers.

When software is worth it

A group text and a shared spreadsheet are a start. A shift-filling tool pays off when there are many sites, roles and certificates to juggle. It can text every qualified person at once, give the shift to the first yes, block bookings for anyone who isn't qualified, warn before certificates expire, and turn approved hours into timesheets and invoices.

Common questions

How can a staffing agency fill shifts faster?

Keep an up-to-date list of who is qualified for each site and role, send open shifts to all of them at once instead of calling one by one, and give the shift to the first person who confirms.

Is texting staff about open shifts allowed?

Generally yes for your own workers, as long as they've agreed to be contacted that way and can opt out. Check your local employment and privacy rules.

How do I avoid booking someone who isn't qualified?

Keep each person's qualifications and certificate expiry dates in one place, and only offer shifts to people who match the role and are in date.

What should I measure?

Time to fill (from sick call to confirmed cover), the share of shifts filled, and how often a certificate expired before anyone noticed.
